    Every item has its own stock ledger: date, document, in, out and balance. Each line links to the bill that caused it.

How inventory works in CredHill

  1. Switch on Track stock for your goods

    In Item Master, turn on Track stock for an item and enter what you have today, its cost per unit and the date. A long list? Import your items from Excel with their opening stock.

  2. Bill the way you already do

    Invoices take goods out, delivery challans hold them, credit notes bring returns back and purchase bills bring new stock in, each as you save it. There's no separate stock book to keep.

  3. See your stock, and why it is what it is

    The stock summary shows every tracked item's stock, what's running low and what it's all worth. Open an item for its ledger, where every line links to the bill that moved it.

Frequently asked questions

Is CredHill's inventory software really free?

Yes. Stock tracking is part of CredHill, with no paid plan to buy and no credit card needed. It stays off until you switch on Track stock for an item, so if you don't need it, your bills look exactly as they do today.

Stock kaise maintain kare?

Keep one record per item that changes with every bill: purchases in, sales and challans out, returns back in, and damaged or lost goods written off with a reason. In CredHill you enter each item's opening stock once (or import it from Excel) and switch on Track stock; from then on your invoices, challans, credit notes and purchase bills keep it up to date.

Is a stock register mandatory under GST?

Yes, if you're registered and deal in goods. Section 35 of the CGST Act asks every registered person to keep an account of their stock, and for regular taxpayers rule 56(2) lists what it shows: the opening balance, goods received and supplied, goods lost, stolen, destroyed, written off or given away as gifts or free samples, and the balance. Entries mustn't be overwritten, records kept electronically need a log of every edit and deletion, and they're kept for 72 months from the due date of that year's annual return. Goods you can't account for can be taxed as if you had supplied them.

How do I see how much stock is in my godown?

Open Inventory → Stock Summary. It lists every tracked item with its stock in the godown, the stock held on challans, its value and its reorder level, with tabs for items running low and out of stock. Open an item to see its ledger: every line, with the bill that moved it.

What happens to goods sent on job work or approval?

They're still yours, so CredHill doesn't count them as sold. Goods on a delivery challan for job work, on approval, for an exhibition, demo or repair, or to your other premises move to held stock: counted in what you own and its value, but not in what you can sell. Mark the challan returned and they're back in the godown; turn an approval challan into an invoice and the invoice takes the goods from the challan, so nothing is deducted twice.

How is stock value calculated?

At average purchase cost: what you paid for your opening stock and purchase bills, divided by the quantity bought, times the quantity you own, goods held on challans included. GST you can claim as input tax credit isn't part of the cost; GST you can't claim is. Selling prices never change the value.

Purchase bill entry kaise kare?

Open the purchase order and choose More → Record bill / Receive goods: the bill opens with each line still to come, at the order's rate. Add the vendor's bill number and date, the day the goods arrived and whether input tax credit is available, then save. The goods come into stock and the order shows what has arrived, like "Received 30 of 50". No purchase order? Go to Purchases → Purchase Bills and choose Record Purchase Bill.

Can I bill an item that's out of stock?

Yes, unless you choose otherwise. Shops often bill before the purchase is entered, so by default CredHill shows which items are short and lets you save anyway. Prefer a hard stop? In Invoice Settings → Inventory, choose "Block the save", and a sale that would take stock below zero isn't saved.
