What is a quotation?

A quotation, or quote, tells a customer what you'll supply, at what price and on what terms, before they decide to buy. It usually starts the sale: the customer compares quotes, accepts one, often sends a purchase order, and you invoice once you deliver.

Showing GST on a quotation lets the buyer see the real cost up front: the price before tax, the GST rate and the total they'll pay. If your prices already include GST, say so clearly.

A quotation isn't a GST document. Nothing goes into your GST returns when you send one, and the buyer can't claim input tax credit on it. GST is charged on the tax invoice you raise when the sale happens.

Give every quotation its own number and a validity date. The number lets the buyer's purchase order and your invoice refer back to it; the date makes clear how long your prices hold.

Quotation format: what a good quotation includes

GST law sets no format for a quotation, because it isn't a tax document. These are the details buyers expect, and why each one matters:

  • Your business name, address, GSTIN and contact details, so the buyer knows who is quoting and how to reach you.
  • A quotation number and date, so the purchase order and the invoice can refer back to it.
  • A valid-until date, so it's clear how long the prices hold.
  • The customer's name, address and GSTIN (if registered), which show whether CGST + SGST or IGST applies.
  • Each item or service with a description and its HSN/SAC code, so the buyer can check the GST rate.
  • The quantity, unit and rate on every line, with any discount shown.
  • The GST rate and amount on each line, and the total including GST.
  • Payment terms, delivery time and any conditions, such as what isn't included.
  • Bank details or a UPI QR code, if you want an advance.
  • A signature, or 'For [your business]' above an authorised signatory.

Source: Good practice, not a legal requirement: GST law has no quotation format. The tax invoice you raise on the sale must follow Rule 46 of the CGST Rules, 2017.

How to make a quotation with this generator

  1. Add your details and the customer's

    Type your business name, address and GSTIN, then the customer's. With both GSTINs in, the editor knows whether the sale is within your state or across states.

  2. Number it and set the validity

    Keep the suggested quotation number or type your own, then set a Valid Until date.

  3. List what you're quoting

    Add each item or service with its HSN/SAC code, quantity, unit, rate and GST rate. Give a discount on any line, or type prices including GST if that's how you quote.

Quotation vs proforma invoice

Both come before the tax invoice, and neither is a GST document. What differs is the stage of the deal.

People often use the two words for the same thing. Where they're told apart, an estimate is an approximate cost and a quotation is a firm price for a defined job.
